Dear Association leaders

PARTICIPATION

It is great to see participation building over the past few weeks as players engage in District competitions and many begin preparation for the national championships.

I would like to better gauge the level of participation in communities and seek your support in providing participation information in your Association facility for the month of August. Currently Table Tennis NZ does not have a process in place for capturing community participation. This survey is a trial or test survey to not only determine the level of participation in a ‘snap shot’ period, but also as a first step to determine future methods of capturing community participation and to gain feedback from Associations on participation survey methods. August is a good month to capture data, as it is not interrupted with school holidays.

Participation information is important

Participation information is important for both a District Association and Table Tennis New Zealand. Having an insight into participation provides many advantages:

✓ To better support participants and enhance the services being delivered

✓ To determine what services /activities may be popular

✓ We can identify which sectors of our community are participating

✓ Improve the alignment between District Associations and Table Tennis NZ in the delivery of services, opportunities, and experiences

✓ To identify needs and gaps

✓ To be in a better position to advocate and lead our sport.

Data collection

For each week in the month of August, I would request that each Association records the participation in each activity it delivers. Click the link below to a template spreadsheet for completion on a daily/weekly basis. The sheet also includes a sample survey return.

The data will include both organized group activity and individuals who visit casually to play.  It is important that accurate data is supplied. The data to be supplied is not linked to a membership fee structure or an affiliation fee calculation. TTNZ simply want to know what is happening.

For those thinking why I did not send this out last week, I do apologise, but other time bound tasks interrupted this task.

If you have any questions or feedback, please contact me 021 1813355. I am happy to discuss it.

A survey returned by 10th September 2020, would be appreciated.

COVID19 PANDEMIC

I would encourage all Associations and Clubs to continue with vigilant hygiene practices as the risk of Covid19 remains.

The importance of ‘playing it safe’ remains. There is a link below to a copy of the activity guidelines issued in May 2020, that could be reviewed and implemented.

PROTOCOLS ON CORRESPONDENCE

May I encourage that communication between Associations is done via Associations Presidents or Board Chairs or the Associations General Manager, if they have one. I would also request that any matter for the Board of TTNZ or to a Board member, be sent to the CEO, Warren Ogilvie ; ceo@tabletennis.nz .

If it is a matter about the CEO, please refer to the Board Chair; board@tabletennis.nz

Should players have any concerns, they should address the matter to their own Association in the first instance.

COMPLAINTS PROCESS

As part of your member protection policies does your Association have a complaint process?  A sample policy and guidelines are linked below

Best wishes to all.

Kind regards/ Nga Mihi
